Scanning Coordinator Job Description

Job Title: Scanning Coordinator

Company: Access93
Location: UK & Abroad (Event-based travel)
Job Type: Freelance, Daily Rate
Start Date: Immediate / Ongoing

About the Role

Access93 is seeking proactive and technically-minded Scanning Coordinators to join our growing freelance team, supporting RFID and QR code accreditation systems at high-profile festivals, award shows, and sporting events in the UK and abroad. As a Scanning Coordinator, you will play a vital role in ensuring our scanning technology is deployed effectively, functioning reliably, and used correctly by on-site security personnel.

This is a hands-on role that involves equipment setup, troubleshooting, field support, training, and problem-solving — often in fast-paced, high-security environments with long hours and significant walking.

Key Responsibilities

  • Deploy and maintain custom-built Android and UHF scanning equipment across event sites.
  • Train security staff on correct usage of scanners and ensure consistent, proper operation.
  • Ensure all devices are connected via Wi-Fi, 4G/5G, or available networks in challenging environments.
  • Monitor battery levels, manage charging rotation, and align with production schedules to avoid downtime.
  • Troubleshoot technical issues, escalate when necessary, and keep equipment in peak working condition.
  • Support the accreditation team with related tasks such as printer setup, jam resolution, driver installation, and general admin.
  • Check in regularly with scanning points and security personnel throughout the event.
  • Maintain accurate, real-time situational awareness of scanner performance and potential vulnerabilities.
  • Interact confidently with event control, police, and high-value individuals when required.
  • Stay alert for signs of social engineering or penetration testing and uphold event security protocols.

Ideal Candidate

  • Preferred background in event technology, IT systems, RFID/QR scanning, or live event operations.
  • Calm under pressure with excellent communication and initiative.
  • Able to follow technical instructions and solve problems independently.
  • Comfortable working in high-security environments where discretion is key.
  • Physically fit and prepared for long shifts and extensive walking.
  • Willing and able to travel at short notice, including overnight stays.
  • Experience with custom or long-range UHF scanners is a strong advantage.
  • Full UK driving licence preferred for certain assignments.

Compensation & Benefits

  • Freelance position, paid per day (rates discussed individually).
  • Travel, accommodation, and on-site catering may be included, depending on the event.
  • Opportunity to work at world-class events alongside experienced industry professionals.
  • Training provided on equipment and procedures.
